My Signage Portal privacy policy

My Signage Portal, also known as MSP Nexus or Nexus, is the digital signage service provided by Allsee Technologies. This policy explains how we handle information when you use our website and portal, including optional connections to Google Calendar and Google Sheets. Your organisation decides which sources to connect and which content to publish.

For privacy questions, access requests or deletion requests, contact allseecdmsdev@gmail.com. Please identify your organisation and the relevant connection; do not send passwords, access tokens or refresh tokens.

Information we process

We process account and organisation information, access permissions, content and configuration you provide, and operational records needed to run and protect the service. These can include account identifiers, contact details, uploaded media, layouts, screen configuration, connection status, timestamps and error or audit records.

Connecting Google is optional and requires your permission. The information available to Nexus depends on the feature and permissions you authorise:

  • Google account identity: where identity access is requested, your Google account identifier, name, email address and basic profile information identify the connected account.
  • Google Calendar: calendar identifiers, names, time zones and access roles let you choose an available calendar. We read events from the calendar you select, including event identifiers, titles, start and end times, all-day and cancellation status, visibility, and available organiser and location information. Google may return other event metadata during processing; the signage event model keeps the fields needed for the calendar display. Events marked private are displayed as “Busy”, without their organiser or location.
  • Google Sheets: the spreadsheet you explicitly select through Google's file-selection flow, its identifier and metadata, and the rows, columns and cell values needed by your configured source. These values may contain personal information if you put it in the selected spreadsheet. This connection does not give Nexus general access to every file in your Drive.
  • Connection information: granted permissions, selected resource identifiers, connection and refresh status, and OAuth access and refresh tokens. Nexus uses these tokens to maintain the connection; it does not ask you to provide your Google password.

How Google-connected features use information

Calendar reads your calendar list for selection, then reads the selected calendar's events to produce the calendar preview and signage display. It does not create, edit or delete your calendars or events.

Sheets Cards reads configured spreadsheet fields to create information cards, such as titles, descriptions, image links and other fields you choose. Changes are refreshed into the source's cached cards. Sheets Cards does not write to the spreadsheet.

Dynamic Pricing reads the selected spreadsheet to create and refresh price lists used by your signage. It can also write cell changes to that selected spreadsheet when you explicitly request an edit. Google's selected-file permission can allow reading and writing that file; each Nexus feature uses the operations described here.

We also use connection information to authenticate requests, refresh permissions, report connection errors and protect the service. We do not use Google data for unrelated profiling or advertising.

Sharing and display

Connected sources belong to your Nexus organisation. Members with the appropriate permissions may access their configuration and content. When you publish a layout or price list, its selected content is delivered to the screens or other destinations you choose. People near a public screen may see that content. Choose a calendar and spreadsheet that are appropriate for that audience.

We use service providers for hosting, storage and operating the portal. They may process information on our behalf to deliver and protect the service. If you explicitly ask an optional assistant or other connected workflow to work with your content, information needed for that request may also be processed by the provider supporting that feature. Such processing must remain limited to the user-requested functionality and the applicable Google data-use restrictions.

We may disclose information where necessary to meet a legal obligation or investigate security incidents or abuse. Human access to Google content is limited to assistance you authorise, security investigations or legal requirements. We do not sell Google user data or provide it to advertising platforms, data brokers or information resellers.

Google API data and Limited Use

My Signage Portal's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Google user data is used only for the user-facing features you choose and their permitted operation and protection. We do not use it to target advertisements, determine creditworthiness, or train, develop or improve general-purpose artificial intelligence or machine-learning models. These restrictions also apply to data derived from Google information and to providers processing it on our behalf.

Protecting information

Public portal and Google API connections use HTTPS. OAuth tokens stored by the backend are encrypted using authenticated encryption. Organisation permissions control access to connected sources. Google access and refresh tokens are not included in signage device content or the normal account responses sent to the portal interface. These controls reduce risk; no online service can guarantee absolute security.

Retention, disconnecting and deletion

While a connection is active, we retain its credentials, settings and the source data needed to provide the configured feature. Refreshed calendar and card snapshots support previews and displays. Refresh or cache expiry is not itself a promise of permanent deletion from storage.

Disconnecting a Google source in Nexus stops further use of that connection by the integration. You can also remove My Signage Portal's access in your Google Account connections. Revocation does not delete the original calendar or spreadsheet at Google.

Disconnection is different from a deletion request. Connection records, including encrypted credentials, can remain in storage after disconnection. Previously imported price-list items, saved configuration, cached records and operational history may also remain until removed through the relevant feature or the deletion process. Deleting a Sheets Cards feed removes its active cached card records. Content already delivered to a screen or exported may require removal from that destination; revocation cannot recall copies already seen by viewers.

To request removal of retained Google connection information or imported content, contact allseecdmsdev@gmail.com with your organisation and the connection or content to remove. We verify that you are entitled to make the request, identify the affected records and arrange deletion of information no longer needed for the service. We retain only information still necessary for a legitimate operational or legal purpose, such as required security or audit records, and explain any applicable exception. Backup copies follow the applicable backup retention process and are not used to reactivate a disconnected source. We do not promise that disconnecting a source immediately purges every stored or backup copy.

Website technologies and your choices

The website uses technologies needed for its operation and Google Analytics to understand website usage. Website usage information can include visited pages and browser or device information. Google-connected calendar and spreadsheet content is not used for marketing analytics. You can control cookies and similar storage through your browser; blocking necessary storage can affect portal sign-in and functionality.

You can ask about information we hold about you, request correction or deletion, or raise a privacy concern using the contact address above. Where your organisation manages your Nexus account or supplied the content, we may need its instructions or authorisation to complete the request.

Changes to this policy

We will update this page when our practices change and revise the date above. If we propose a new use of Google data outside the purposes already disclosed and authorised, we will notify affected users and obtain any additional consent required before that use begins.
